Add a New Item to the Database

    There are three different ways to Add a New Item to the database:

    1. Click Add Item in the Account window on the left side of the screen.

    2. Click Add Item in the Inventory Management section, in the Inventory Items , on the Start Page in the Common Tasks section.

     

    3. Add an item from the View Item Catalog window by clicking on the Add Item button at the top of the screen.

    The Item Details window will open. This window consists of the Save and Close, Close, Print, and Group by buttons.

    Red markings indicate mandatory fields that must be filled in properly before the item can be saved.

    General Tab

    No.

    The Item Inventory number is assigned by the system. This field cannot be edited or changed.

    Entered By

    The authority is in charge of entering the item to the system. This field cannot be edited or changed.

    OEM part No

     

    The OEM part No is a key field in this inset. It is an identifier assigned by the manufacturer to the inventory item . Each OEM part No is unique and cannot be assigned to other items. Possible length is up to 50 characters.

    Description

    In this field, you may enter a short alphanumeric text as a description of your item.

    Group

     

    It is a collection of items, which the entered item relates to. Click the drop-down arrow and choose the necessary group from the drop-down list. 

     

     

     

    Double-click on the Pencil icon or, after selecting the appropriate box, press Alt+Enter to edit the following list. A window will open allowing adding or removing the groups.

     

    To add a new description, click Add. 

    Enter the appropriate name or description of the item in the text field of a new window. Then click OK. A new group will be added. 

     

    To edit a description, click Edit. Modify the name or the description of the item in the text field of a new window. 

    To remove a description, select the description to be removed from the list. Click Remove, and then click Yes to confirm or No to cancel the operation. 

    Manufacturer

     

    It is an alphanumeric text entry field that contains the Manufacturer (Brand) of the inventory item.  

     

    Double-click on the Pencil icon or, after selecting Manufacturer box, press Alt+Enter to edit the following list. A window will open allowing adding or removing manufacturers. 

     

    Entry Date

    It is the date the item was entered into the system. This field cannot be modified; information is maintained by WMSmart.

    Country of Origin

    From the drop-down list, choose the country the item was shipped from.

    Assembled In

    From the drop-down list, choose the country the item was assembled in. 

    UPC No.

    Enter the item Universal Product Code or Barcode. 

    SKU No.

    Enter the item Stock-Keeping Unit.

    Item Category

    It is a list box window. You populate the list and select a category for each item from it. This field is used to classify your inventory items by category.

    Press the  button. The Select Category window will open with all the categories contained in the system. Choose a category for the item.  

     

    Tariff Number

    Choose Tariff Number from the drop-down list.

     

     

    To add new Tariff Number double-click on the Pencil icon or press Alt+Enter to edit the following list. A window will open.

     

     

    To add a new description, click Add. 

    Enter the appropriate name or description of the item in the text field of a new window. Then click OK. A new group will be added. 

     

    Catalog Picture

    The system allows storing a bitmapped picture of your item. Scan the picture into your PC (or use a digital camera) and save it as a *.bmp file. 

    Press Choose. A new window will open. Locate the necessary image and click Open.

     

    Once the desired image is selected, it will appear in the picture frame.

     

    After Market Part

    Click Add button. The Add After Market Part window will appear.

    Choose After Market Part No from drop-down list.

    To add new After Market Part No double-click on the Pencil icon or press Alt+Enter to edit the following list. A window will open.

    To add a new description, click Add. Enter the appropriate name or description of the item in the text field of a new window.

    Then click OK. A new After Market Part No will be added.  

    Choose Manufacturer and Model from the drop-down list as well.

    Enter the Year and Remarks.

    Then click OK.A new After Market Part will be added. 

    Packaging and Pricing Tab

    The Packaging tab allows modifying the dimensions of an item and the type of its packaging.    

    A Carton of 1 is a Default System Ratio. The default configuration can be changed into a different one. However, the Carton of 1 configuration will remain as a part of the configurations, and it cannot be deleted.  

    Click   to add a new package type. 

    Click to edit a package type.A new window will open allowing adding or editing the Master Package Configuration.

     

    Ratio Definition

    Ratio 

    Enter the number of units. If you count your inventory items as one case per inventory unit but a case actually consists of more than one inventory item, you can put the actual number of units per pack. The system will store it as one but it can display the actual number of units as well.

    Master Package

    The Master Package specifies the type of item packaging. This list contains different sorts of packages, where you store your inventory – for example, cartons, lots, and pallets. The Master Package type is a reference-only list. It is not used in any calculations, but it indicates the type of item package when it is received and shipped. You may choose the necessary Master Package type from the drop-down list.

     

    A new package type can be created by double-clicking on the Pencil icon or pressing Alt+Enter.

    The open window allows the user to add, edit or remove different package types.

    To add a new package type, click Add. Enter the package type (for example, Big box) in the text field of a new window. Then click OK.  

     

    A new Package Type will be added.

    To edit a package type, click Edit. Modify the package type in the text field of a new window. 

    To remove a package type, select it and click Remove. Click Yes to perform the action or click No to cancel the operation.

    However, a message box may appear if the package type has an activity. In this case, the package type cannot be deleted.

    Default Measurement Unit

    It allows setting the measurement units.

    This list contains the units used to measure the inventory – for example, Inches and Feet, Centimeter and Meter. Once you have entered the conversion factors of the units, WMSmart will be able to convert units of measure automatically.

     

     

    Ratio Description

    It is an automated field that describes the number of units in master package.

    Unit Package

    The Unit Package type specifies how the item is packaged and presented. This list contains different sorts of packages, where you store your inventory – for example, boxes, cans, and barrels. The Unit Package type is a reference-only list. It is not used in any calculations, but it indicates how items are packaged when they are received and shipped.

     

    A new package type can be created by double-clicking on the Pencil icon or pressing Alt+Enter.

    A new window allows the user to add, edit or remove different package types from the drop-down list. 

    To add a new package type, click Add. Enter the package type (ex.: Big box) in the text field of the opened window. 

    To edit a package type, click Edit. Modify the package type in the text field of a new window that will appear.  

    To remove a package type, select it and click Remove. Click Yes to perform the action or click No to cancel the operation.

    However, if the package type has an activity, a message will appear. In this case, the package type cannot be deleted.

    Default Ratio

    Allows selecting the Default Ratio for the item.

    Size

    Allows specifying the Size of the item in cubic Inches and Feet. Calculations of height, width and depth are automated, but can be changed manually after filling in the appropriate fields.

    Total Size

    Calculates the Total Size of the package in cubic Inches, Centimeters, Feet or Meters. Calculations of height, width and depth are automated but can be changed manually after filling in the appropriate fields.

    Weight

    Allows specifying net weight of the package.

     

    Minimum/Maximum Carton Quantity Specification

    Minimum/Maximum Carton Quantity Specification gives an opportunity to determine minimum and maximum quantity of the packaged items stored in the warehouse.

    Adding a new item, the user can determine minimum and maximum quantity of importable items.

    If the item quantity is less or exceeds the one in the warehouse, the system will inform the user by marking the minimum and maximum quantities red.

    If the item quantity is within the min/max interval, the system will mark min/max quantities green.

    If the item quantity is less than minimum, then it will be marked red, and maximum will be marked green.

    In the Inventory Item panel, the Max/Min Quantity fields are not mandatory to fill in (if the user did not determine the value in these fields, the items are not analyzed, and the message is not displayed).

    Ratio Generic Prices

     

    This section allows specifying currency as well as Buy and Sell prices.

     

     

    After all the necessary changes have been done, press OK to confirm new Package Ratios.

     

     

    The Item Details Page will have a new row of dimensions.

     

    Exit Criteria Tab

    The Exit Criteria tab allows choosing the type of the shipping criteria for a new item.

    FIFO/LIFO and Expiration Date Specifications

    Adding a new item, the user can choose whether to ship it by FIFO/LIFO criteria, Expiration date or by regular means.   

     

    Select options for the item.

    Click Save and Close. The Item Catalog will display a New Item that was added to the database.

    The Item Number will be assigned to the New Item.
