How to Add a New Transfer Order

    You may add a new Transfer Order either in the sliding window (Account panel) or in the Order Management section in the Common Tasks window on the Start Page. Click the Add Transfer Order link. 

     

    You can also click the Pending Transfer Orders link on the left side of the screen or click the View Pending Transfer Orders link in the Transfer Order section on the Start Page. The next window will open.

    Click Add. The next window will open.

    General Tab

    This window allows editing the properties of the New Transfer Order.   

    Red markings indicate mandatory fields that must be filled in properly before the data can be saved.

    General Info

    Order No, Creation Date, Entered by, and Account fields cannot be changed.

    The Completed On field can be changed.

    In the Remarks field you may add any remarks concerning the current Transfer Order.

    Transfer Order References   

    The purpose of the Transfer Order References is to enable you to insert general data regarding the shipment.

    This field provides general identification information regarding the shipment.In order to add a "Transfer Order Reference", click the Add button. 

    The Add/Edit Reference window will open.

    Choose a Reference Type, enter the Reference No in the field.  

      

    For example, Reference Type is MAIL, Reference No is 254.

    Then click OK. 

    If you want to create new Reference Type, double-click the Pencil icon or press Alt + Enter to edit the list.

    A new window will open.

    This window allows you to add, edit or remove any reference type. 

    Reference Type and Reference No will be added to the Transfer Order References box. 

    Note: In order to save the Transfer Order References, you need, at least, fill in a reference type.

    Class Info  

    The purpose of the Class Info section is to enable you to insert a shipment class. To add a shipment class, click the Add button.

     

    The Add/Edit Shipment Class window will open.

    For example, Class Name is Class A.

     

    Then click OK. 

    If you want to create a new Class Name, double-click the Pencil icon or press Alt + Enter to edit the list.

    A new window will open.

    This window allows you to add, edit or remove any shipment class. 

    The Class Name will be added to the Class Info box.

    Number of Pallets and Total Weight

    Enter the number of pallets and total weight for this Transfer Work Order (for the current Transfer Work Order).

     

    Carrier Information

    Its purpose is to enable to insert specific details of the shipment.

    This field provides an identification of the shipment.

    In order to add Carrier Information, click the Add button.

    The Add/Edit Carrier Info window will open.

     

    Carrier

    Carrier is the name of the company carrying the freight. The Carrier Name may be chosen from the contacts that were entered into the contacts list. 

    Carrier Address and Initials

    The Carrier Address and Initials fields are filled in when a Carrier is chosen. 

    These fields cannot be edited.

    Shipping Method

    The Shipping Method  indicates, which transportation method the carrier uses.

    This field contains a Pencil icon. Double-click the icon or press Alt+Enter to edit the following list. 

    In this window, you can Add, Edit or Remove Shipment Methods.

    To add a new Shipping Method to the list, click the Add button. A window with a text box will appear.  

     

    In this window, you may enter the appropriate name or description of the method. Then click OK.

    To edit a description, click the Edit button. The next window will appear. In this window, you may edit the name or description of the item.   

     

    To remove a description, first select the description to be removed from the list. Then click Remove.   

     

    A message box will confirm your decision to remove the item. Click Yes to delete or No to cancel the deletion of the item.

    Note: If shipping method has an activity, it cannot be deleted.  

  • Note: In order to save the Add/Edit Carrier Info, you need to fill in, at least, one field. 

    Payment Method

    The Payment Method indicates which payment is used.

    This field contains a Pencil icon. Double-click the icon or press Alt+Enter to edit the following list. 

    In this window, you can Add, Edit or Remove Payment Methods.

    To add a new Payment Method to the list, click the Add button. The next window will appear.

    In this window, you may enter the appropriate name or description of the method. Then click OK.

     
    To edit a description, click the Edit 
    button. The next window will appear. 
    In this window, you may edit the name or description of the 
    item.

    To remove a description, first select the description to be removed from the list. Then click Remove.

  • A message box will ask to confirm your decision to remove the item. Click Yes to delete or No to cancel the deletion of the item.

    Note: If payment method has an activity, it cannot be deleted.

    Additional fields in the Carrier Information Form:

    Seal Number, Trailer Number, Driver Name, Carrier Bill of Lading (CBL), Bill of lading Instructions, and Remarks.

    Fill in these fields. 

    The Bill of Lading Instructions are also displayed in the reports.

    Custom Brokerage

    This section allows specifying all the information concerning customs clearance and other brokerage functions.

    When all the necessary data have been entered, click OK. The Carrier Info is added.    

     

    Shipping Info

    The Shipping Info may be chosen from the Contacts that were entered into the contacts list.

    In the Attention field (ATTN), you may enter a person’s name. This information is displayed in the reports.

  • Custom Broker Info 

     In order to add a custom broker, click the Add button.

     

    The Add/Edit Custom Broker window will open.

    The Custom Broker may be chosen from the contacts that were entered into the contacts list.  

    Custom Broker Type section

    This section allows defining the location of the chosen custom broker. Click the drop-down arrow and choose the necessary country from the drop-down list. 

     

    Then click OK.  

    Custom Broker will be added to the Custom Broker Info box.

    After all the necessary data is entered, choose the Transfer Order Items tab.

    Transfer Order Items Tab      

    This tab allows adding items to the Transfer Order.

    This tab allows adding items to the Transfer Order. It contains General and Entry/Lot tabs.

    Note: the content of the Entry/Lot tab is similar to General tab, besides the fact that  Entry/Lot tab allows addingnew Transfer Order for items with Entry/Lot only.

    In order to add an item, click the Add Item button. 

    The next window will open.

    After you have finished adding all items for the current Transfer Order, click OK. Then click the Save and Close button.       

    Enter the requested item quantity and click Add Entries.  

    A new Entry will appear.

    ServicesTab

    Click Add Service to add a Service Item to the current Transfer Order.

    The next window will open.

  • Select the necessary Service item and click OK. A Service item was added to the Transfer Order.

    Note: All the Transfer Order's details must be filled in properly.

    If the quantity of items to transfer is more than the allocated quantity, the following warning message will appear:

    After you have finished adding all items for the current Work Order, click OK. Then click the Save and Close button. 

    Then save the Transfer Order.

    It will be added to the Pending Transfer Orders window, where it will be given a new Transfer Order Number. For example: TO-21.

    You can edit the work order by double-clicking on it or by selecting it and clicking on the Edit Work Order button.

    To finalize and confirm the Transfer Order, click the Post button.

    If you have posted the work order, it will be added to the Posted Transfer Orders window. That window is read-only and is used for viewing purposes only. You can also generate reports from this window by choosing various reports on the Start Page in the Reports section.

    Reports

    Additionally, this window allows generating various reports by clicking on the Transfer Order Report, Bill of Lading, and Packing List buttons.
